02 · The challenge

What wasn’t working

Multiple ERPs and Excel sheets ran across departments, with separate mechanical and electrical BOMs. There was no material planning visibility, deal and specification data was lost in CRM, payroll arrears and tax were manual, and after-sales could not track machines by serial number.

Disconnected systems and data duplication
Separate mechanical vs electrical BOMs
No visibility into raw material planning (MRP)
Deal and specification data not centrally managed
Manual arrears, tax and salary calculations
No serial-based machine tracking; wrong spares dispatched
What they needed
  • Implement a centralised ERP platform
  • Enable end-to-end process visibility
  • Standardise BOM and manufacturing processes
  • Automate CRM to billing lifecycle
  • Digitise HR, payroll and recruitment workflows
  • Improve service management and tracking
  • Enable project profitability tracking
03 · What we implemented

The solution

A unified ERPNext replacing multiple ERPs. It covers CRM and quotations, sales with rental and subscription billing, purchase and import, inventory, manufacturing (BOM, MRP, production planning), accounting and GST, HRMS, projects, and support and after-sales.

On one ERPNext.

Modules
  • CRM and quotations
  • Sales, rental and subscription billing
  • Purchase and import management
  • Inventory and warehouse
  • Manufacturing (BOM, MRP, production planning)
  • Accounting and GST compliance
  • HRMS (recruitment, onboarding, payroll)
  • Project management
  • Support and after-sales service

  4. 4Billing

What we built beyond the standard

  • Unified BOM with revision management during production
  • Raw material planning table (iron, sheet, wire)
  • Parameter-driven item creation
  • Structured solution design module and specification capture
  • Rental billing automation
  • Advance custom-duty payment logic
  • Multi-level job requisitionDynamic interview rounds, CTC engine in offer letter
  • Arrears calculationRetention bonus scheduling, tax projection
  • Serial-number machine trackingWith BOM-linked spare validation

Outcomes

  • Automated invoicing and payroll
  • Eliminated Excel dependency
  • Accurate BOM and MRP planning
  • Faster quotation and order processing
  • Project-level profitability tracking
